INFORMATION PURSUANT TO ART. 13 OF EU REGULATION N. 679/2016 (‘GDPR’)
This Policy describes which of your and/or your company personal data are collected by ReviewerCredits S.r.l., for what purposes and in what manner they are processed.
In general, we collect your information when you use our services (referred to herein “Service”) on our portal https://www.reviewercredits.com (referred to herein “Website”), when you send us emails or messages or call us. We inform you that the personal data collected during these processes will be processed in order to respond to your requests, to allow you to use the Services offered through the Website and to carry out marketing activities, as indicated below.

1. Who processes your data – Data Controller
ReviewerCredits S.R.L. with registered office at Via Giosuè Carducci n. 8, Milano, Italy (referred to herein as “we” or “Company”) is the Data Controller of the processing of your (and/or your company) personal data, necessary to provide you with the Company Services accessible from our Website and, upon your consent, for marketing purposes, consistently with the purposes and modalities indicated below.
2. Which data we process – type of processed data
Your data and/or your company and account data. We will retain the contact information you provide (for example, your first name, surname, address, email, country of residence, telephone number) when you create an account on the Website, use our Services and/or take part in our conference.
Payment and invoicing data. We will retain the payment and invoicing data that you provide (for example, credit card number, postcode and address) when you purchase a Service for a charge on Website.
Website used data. By using our Website, you agree for us to process the data from your browser and the device you are using, as well as your IP address (this is the number that identifies a specific device on the internet and that is needed for your device to communicate with Website). We can analyze which Website you have come from, what you have done and what you have not done on our Website.
Marketing. Subject to your consent, we will retain your email to send you commercial information about our Services and/or to disclose your data to select Company’s partners for the purpose of sending you promotional, advertising material and other communications with marketing purposes related to their products and services. Such Company’s partners do operate in the (i) Business to Consumer sector, (ii) the scientific sector, (iii) the publishing sector and (iv) the communication sector in general.
3. Where we collect your Data – Data collection methods
(i) From your use of the Website. When you visit our Website, even when you do so without being registered or having logged in, the software procedures and the computer system responsible for operating the web applications acquire, during their normal operation, some data whose transmission is implicit in the communication protocols of the Internet.
This information is not collected to be associated with identified interested parties, but by their very nature could, through processing and association with data held by the Company or third parties, allow users to be identified.
Company uses this information only to enable you to navigate our Website and to carry out the operations normally associated with the use of our Website.

We also store additional information about you and/or your company for example if ask us a question via email or otherwise contact us via email. If you do not give us your details, we will not be able to provide you with one of the Services that you requested.
Finally we also store additional information that you provide us or allow us to collect from others, such as your reviewing record with a publisher, and information regarding a conference talk you gave which we collect with the purpose of validation.
(iii) From third parties. For example, if you choose to use social media features to interact with us, the third party’s social media site will, with your prior consent, pass on certain information about you to us. Your activities on our Website may be posted on social media platforms on which you have an account (and for which you have accepted terms and conditions, including those relating to the use of your information).
4. Why and how long we process your data – Purpose and legal basis of processing – data retention period
To provide you with the Services of our Website, through our Website, to give you information and assistance about Company Services and the activation of your account on Website, to provide email alerts with updates on our Services, to process your claims for reviews performed and for talks given, by contacting each journal. The processing of your data is necessary to give you access to Company’s Website, to respond to your requests and to provide you with assistance when using our Services.
The legal basis of this processing is the performance of the Services you have requested, in accordance with the terms and conditions of Company’s Service that you have accepted, as well as the fulfilment of pre-contractual measures that you may have requested before activating such Services. The retention period of your data is equal to the period of activity of your account for the use of Company’s Services according to the terms and conditions of use that you accepted. Without your data, we cannot provide you with the Services of the Company described on the Website.

For example, we may use your information to prevent or prosecute infringements of our or third party’s intellectual/industrial property rights or computer crimes or those committed through electronic networks. The legal basis for such processing is Company’s legitimate interest to protect its rights and to prevent crimes. The data retention period is equal to the time reasonably necessary to protect our rights from the moment we become aware of the offence or its potential commission.

When you browse our website, even when you do so without being registered or having logged in, the software procedures and the computer system controlling the functioning of the web applications acquire, during their normal operation, some data whose transmission is implicit in the use of Internet communication protocols.
This information is not collected to be associated with identified data subjects, but due to their very nature they could, through processing and associations with data held by the Data Controller or by third parties, allow users to be identified. The legal basis for this processing is Company’s legitimate interest in communicating with the public via telematics networks. The period of data retention for information that could potentially allow identification is a few hours from access to our Website.
The data obtained from navigation may be used for web analytics activities. However, you have the right to object to the processing of your data for this purpose at any time and free of charge. We use Google Analytics cookies, an analysis service provided by Google Inc. (“Google”). We have activated the IP-anonymization within the Google Analytics service, and your IP address will not be accessible to Google. 6. With whom we share your data with – recipients of the personal data
With academic publishers and institutions. Your data may be shared with academic publishers and to provide you with the Services you have requested or with customer assistance.
With service providers. Company uses third party services, (cloud, hosting, Website navigation functionality) that operate as data controllers under agreements in accordance with Art. 28 GDPR. These persons shall only acquire such personal data as necessary for the performance of their duties and may use them only for the purposes of performing such services on our behalf or to comply with legal requirements.
With judicial or administrative authorities. Where we believe we should do so to comply with a court order or authority, or in order to comply with legal obligations or to protect our rights, or those of third parties, we may disclose your information to the Judicial Authority or to an Administrative Authority of the State or the European Union.
7. Where are your data processed – Transfer of data
The data will be processed and stored at our offices in Via Giosuè Carducci n. 8, Milano, Italy.
Your data may also be stored in the European Union, in Website in the AWS datacenter in Europe, specifically in Dublin (Ireland) by 4Science, a Company’s supplier to whom the data are transmitted on the basis of agreements in compliance with art. 28 GDPR with standard data protection clauses in accordance with the decision of the European Commission concerning the data protection clauses and by virtues of an adequacy decision of the European Commission on the level of data protection (Privacy Shield). 8. Your rights
In addition to managing your personal data processing preferences in accordance with the previous paragraphs, you can contact Company to request access to your personal data, its rectification, cancellation or limitation of processing, to oppose processing and to request the portability of your data; you can also revoke your consent at any time (this will not affect the lawfulness of the processing based on the consent given before the revocation).
When you exercise your right of access, you can request the rectification or cancellation of your data, the limitation of the processing and portability of your data, you can oppose the processing and request not to be subjected to automated processing such as profiling (if ever there will be).
You have the right to lodge a complaint with the Data Protection Authority and to ask data controllers, at any time, for information about the data processors and the subjects in charge of the processing, authorized by the data controllers to process your data.

Company does not process the personal data of minors under the age of 18. In the event that Company becomes aware that it has collected personal data from users under the age of 18, it will take the necessary steps to delete such information as soon as possible.
10. Securing your data
We have reasonable state of the art security measures in place to protect against the loss, misuse and alteration of personal data under our control. Data we handle in our offices are stored on a secured internal server. Although we cannot guarantee that loss, misuse or alteration of information will never occur, we use all reasonable efforts to prevent it.
